Missed Appointment/Late Cancellation Policy

UNDERSTANDING OUR MISSED APPOINTMENT POLICY AND LATE CANCELLATION POLICY

At Buchanan Audiologists, we deeply value the time we spend with you. Our appointments are deliberately scheduled to be longer than most, as we believe that excellent audiological care requires time and cannot be hurried. Our outstanding team of qualified audiologists is dedicated to your auditory health, employing cutting-edge technology to ensure that you receive the finest care possible. Our fees are a reflection of this commitment to dedicated time and individualised attention.

However, it's crucial for us to share an understanding that every missed appointment creates a domino effect, impacting both our practice and other clients. A missed appointment means clinical time goes unused, time that could have been offered to another client in need. This results in financial implications for us due to the costs of our team's time and operational expenses, a deficit we strive not to pass on to our valued clients through increased fees.

We're grateful for the high demand for appointments at Buchanan Audiologists and work diligently to keep waiting times to a minimum. To aid us in this endeavour, we kindly ask that you inform us at least 48 hours in advance if you're unable to keep your scheduled appointment.

Life is unpredictable, and we understand that plans can change. That's why we've established a cancellation policy we believe is both fair and considerate. Should you miss, alter, or cancel your appointment with less than 48 hours' notice, and we're unable to fill the slot, a charge will be incurred. For your first missed appointment, we simply ask that you cover the missed appointment fee. Upon payment, you're welcome to reschedule another appointment, which will be free of charge if booked within one month of the original missed appointment. However, if this rescheduled appointment is also missed, standard missed appointment fees will apply to both appointments, and these charges will be non-refundable.

We also reserve the right to impose an administrative fee for missed appointments. This fee may be applied by our debt collection agency, should they be tasked with recovering costs. These policies are in place to ensure fairness and the highest quality of service for our esteemed clients, though we reserve the right to adjust these policies without prior notice to better accommodate the dynamic nature of our operations and continue providing you with unparalleled service.

For future bookings, we kindly request that you secure your slot by paying the full deposit in advance. If you need to modify your appointment, we ask for 48 hours' notice to ensure your deposit is fully refundable. Otherwise, your deposit will be non-refundable. For appointments made within a 48-hour period, we offer a 3-hour grace period for any alterations or cancellations, after which full cancellation fees will apply.
